The Timesheet Report is one of the main features of Employee Time Tracking from TimeTac. It provides a breakdown of actual hours worked, compared to the target working hours of an employee. The target working hours are defined by correctly configuring a work schedule for that employee.

When correctly configured, the Timesheet Report will show essential figures relating to the employee’s working hours, such as total working hours, daily balance of hours, overtime earned, total paid time and many more will be automatically calculated and displayed.

All of this data can be exported or printed.

Each employee can see their own Timesheet Report, with a summary of their working hours. Managers can see the reports of the employees within their department.

Each row within the display represents a single day.

Role of the Work Schedule

The work schedule defines the amount of hours that an employee should work on any given day, providing the target amount of hours that an employee should achieve. Days which are classified as non-working days are displayed as grey rows within the report.

Approval Process

The purpose of the Timesheet Report is for employees and managers to be able to check and confirm that the working hours recorded are correct. Once an employee is happy with the tracked data, they can confirm the report and submit it to a manager for approval. Lastly, the manager can approve, closing the report and not allowing any further changes to be made.

Columns

The various figures under the many columns offer a range of simple and very complex values. Each column has a tooltip; if you hover your mouse over each column, it will provide a description of each value and how it was calculated.

Calculation and Recalculation

Certain calculations are updated throughout the course of the working day, such as the working hours value. However, for correct calculation of other figures, such as total break duration, we must wait until the end of the day. The information within the Timesheet Report can only be considered as final up to and including the previous day.

If changes have been made, such as an alteration to the work schedule of the employee, then you can recalculate the data within the Timesheet Report by clicking on the Recalculate button. This will recalculate all values since the user began using TimeTac, so this may take a few moments.

If you made any changes that only affect a recent time frame, then you can update the Timesheet Report from a specific point onwards, by clicking on the calculate symbol at the end of the row for that specific day.

Bulk Timesheet Report Actions

You have the ability to carry out mass actions with regards to the Timesheet Report. These include approving the +M column and printing the Timesheet Report for a selected range of employees.
