Work schedules are templates which tell TimeTac when an employee should work. This includes which days of the week they should work, for how many hours each day and if there are any compulsory hours where the employee must be present in the office.

The purpose of providing TimeTac with this information is so that the employee’s tracked time can be compared to their supposed working schedule. This will then display whether there were any shortcomings in the total amount of hours per week, if the employee adhered to any statutory break regulations and whether the employee earned any overtime, as defined by your work schedule rules.

You can create as many work schedules as desired and you can assign as many employees to a single work schedule as you wish.

Some popular work schedules are already provided with TimeTac. To access the settings for work schedules, expand the side menu Settings, then select Work Schedules.

You will now see several work schedules appear in the left panel of the main display. Click through these to see if any could be beneficial to your company. If not, then simply click on the Add button to create a new schedule.

If you ever wish to make a new schedule which will only slightly differ from another, you can use the Copy Template functionality.

Weekly Plan

After you have selected your work schedule, a list of hours will appear in the middle panel. This is where you define which days should be worked, and how many hours should be worked on that day.

First, check the checkboxes under the column Work Day if it should be a normal working day (Monday to Friday in most office environments). You can now input the Planned Hours which represent the total working hours per day.

Planned Hours do not include breaks. These should only represent the amount of actual hours to be worked.

Core Hours

Within the middle panel there are a few extra columns relating to Core Hours. These are the hours during which an employee must be present and tracking time.

These could represent important hours during which meetings frequently take place. Alternatively, you could define core hours to cover the entire working day if it is essential to have personnel on site, such as in the security industry.

Breaks do not violate core hours.

The Tolerance in Seconds columns beside each of the Core Hours columns are the discrepancies allowed with regards to the core hours. For example, if the core hours begin at 09:00, and the tolerance is set to 300 seconds, then an employee can arrive at the workplace up until 09:04:59 without violating the core hours.

Daily Schedule

The Daily Schedule panel allows you to specify a time frame for a selected day from the Weekly Plan panel.
You can use the Add button to create a blank row in this pane. In most cases, this will simply be entered as Working Hours, but there may be scenarios when other types of hours can be used.

Once you have created your work schedule, you can assign a user to that template via the User Management menu.
